Getting started
The first conversation, and what happens once you decide to go ahead.
It starts with a consultation where we learn about your business, the role you need to fill, your requirements and the type of person you're looking for.
When you're happy to proceed, we prepare the role and begin recruitment. We handle sourcing, screening, internal interviews and assessments before presenting you with a carefully vetted shortlist.
You can then interview the shortlisted candidates yourself, or we can help you select the strongest candidate. Once selected, we handle the formalities and help get your new remote team member ready to start.
Simply complete our Start Hiring form or book a consultation with us.
We'll discuss your business, the position you're looking to fill and what you're hoping to achieve before recommending the next steps.
No. If you know what support your business needs but aren't sure how to structure the position, we can discuss this during your consultation and help define the role and requirements before recruitment begins.
The recruitment process
What we do behind the scenes so you only meet genuinely suitable people.
Our target is to provide your vetted candidate shortlist within two weeks of beginning the recruitment process.
Timelines can vary depending on the role, experience required and complexity of the search, but we keep you informed throughout the process.
We handle the recruitment work for you. This includes preparing the role, sourcing candidates, managing applications, screening, conducting internal interviews, carrying out relevant assessments and preparing your final shortlist.
The objective is simple: save you from spending hours reviewing applications and interviewing unsuitable candidates.
Candidates go through several stages on our side before being presented to you. This includes application screening, internal interviews and assessments based on the requirements of the position.
We assess factors such as experience, communication, technical ability, role suitability and overall fit. Only candidates who successfully complete our process are considered for the final client shortlist.
We focus on quality rather than sending large numbers of CVs.
You will receive a carefully selected shortlist of candidates that we believe are genuinely suitable for your requirements. The exact number can vary depending on the role and recruitment campaign.
You can. Most clients choose to meet shortlisted candidates before making their final decision.
Alternatively, if you would prefer us to take a more active role in the final selection, we can help you identify the strongest candidate based on your requirements.
Candidates and roles
The positions we recruit for and the markets we recruit from.
We can recruit for almost any role that can be performed remotely. This includes administration, executive assistance, customer service, sales, marketing, ecommerce, finance, creative, operations, technology and specialist positions.
If you don't see your role listed on our website, speak with us. Our recruitment campaigns are built around the individual requirements of each business.
Our main recruitment markets currently include the Philippines, South Africa, Nigeria, India and Pakistan.
Rather than requiring you to choose a country, we consider the role, experience, working hours, budget and other requirements before recruiting from the markets we believe offer the strongest potential candidates.
No. One of the advantages of working with Vacruit is that you don't need to determine where to search.
We can recruit across suitable markets and shortlist the strongest candidates based on your requirements.
Yes. We recruit for both full-time and part-time remote positions depending on the requirements of your business.
Our placements are structured as remote contractor arrangements rather than traditional employees.
The virtual assistant works directly within your business and follows the responsibilities, working arrangements and expectations agreed for their role.
Not sure which role you need?
We'll help you shape the position before recruitment begins.
Pricing and payments
One recruitment fee, then one straightforward monthly payment.
Vacruit charges a one-time recruitment and setup fee of £599.
This allows us to begin the recruitment campaign and covers the work involved in sourcing, screening, interviewing, assessing and shortlisting candidates for your position.
This depends on the role, experience required, working hours and candidate profile.
During your initial consultation, we'll discuss your requirements and provide guidance on an appropriate salary range before recruitment begins.
Vacruit handles the monthly payment process for your virtual assistant.
You make one straightforward monthly payment to Vacruit, which includes the agreed cost of your remote team member, and we take care of paying the VA.
This simplifies administration for your business and provides a consistent, reliable payment process for the virtual assistant.
We'll explain the relevant recruitment and ongoing costs before you proceed so you understand the financial commitment before recruitment begins.
Working with your VA
Your remote team member works directly within your business.
You do. Your VA works directly within your business and becomes part of your remote team. You determine their responsibilities, priorities, workflows and day-to-day tasks.
Vacruit remains available in the background for support without unnecessarily interfering in the working relationship.
Working-hour requirements are established before recruitment begins.
If you require specific hours or time-zone coverage, we'll take this into account when sourcing and assessing candidates.
Yes. We can recruit candidates based on experience with specific software, platforms or systems where this is important to the role.
Your own business-specific processes can then be incorporated into onboarding once the candidate joins your team.
Aftercare and support
We stay in the background long after the placement starts.
Our involvement doesn't simply disappear once your VA starts. We remain in contact, build a relationship with the VA and check that the placement is running smoothly.
Our role is supportive rather than intrusive. Your VA works directly within your business while Vacruit remains available in the background when needed.
We also manage the VA's monthly payment process to keep administration straightforward.
Our goal is to find the right long-term fit from the beginning. However, if a placement isn't working as expected, speak with us.
We'll assess the situation with both sides and work with you to find the appropriate solution, including replacement recruitment where applicable.
Yes. We believe maintaining a positive relationship with the remote professionals we place is important for long-term success.
We remain in contact with our VAs, check that everything is running smoothly and remain available if support is needed.
This gives both the client and VA an additional layer of support while keeping the day-to-day working relationship directly between them.
